Dakota Ridge Board Meeting Minutes
March 17, 2020 @ 8am, Commercial Property Group Conference Room
Present: Sarah Jones, Holly Van Deursen, Jim Lob
Others Present: Ron Lemieux (owner), Medora Fralick & Andrea Wilhelm (Commercial Property Group)
The meeting began with a review of the reports provided by each Board Member in anticipation of the upcoming Annual Meeting. These reports included Sarah’s President’s Report along with an update on the roads and ARC, Jim’s water system report, and Holly’s financial report through February 2020. Minor changes and additions were made to the reports and Jim requested some follow up information from CPG regarding annual water usage by year and projected 2020 water system expenses per the CIP. The various reports will be finalized and disseminated with the Annual Meeting packets. Holly requested that CPG begin copying all Board Members on the quarterly water losses. This data will also be provided to CDC moving forward for additional oversight and recommendations.
The second order of business was as discuss of how to handle the April 1st Annual Meeting due to recent CDC recommendations regarding COVID-19. The Board agreed they would like to proceed with the meeting in a conference call format.
Next, the Board spoke with Ron Lemieux regarding his background and professional experience as well as the past boards on which he has served. Ron said he would respect the Board’s decision if members preferred to operate with only three members, but would be willing to join if he could be of assistance.
Lastly, there was a discussion about the CPG transition document and resume Andrea provided to the board in an effort to outline the technical and relational competencies necessary for a successful HOA transition for Dakota Ridge. Andrea and Medora provided a brief summary of how the transition has gone over the past two years, the growth of CPG, and what the future looks like for Medora as a consultant. Immediately following, the board went into a brief executive session and the meeting adjourned around 9:15am.
