Board of Directors Meeting
Tuesday, May 19, 2015

The meeting was called to order by President Sharon Pace at 8:05 am.
Jeff Lake of Civil Design Consultants gave a brief update on the survey work performed at the water treatment plant. The surveyor, Skidge Moon, has completed his field work. He has not completed his final reports, but, it appears that all of the improvements at the pump house are well within the platted easements. Jeff would expect the final report to be completed in the next week. Jeff and Mary Andre will do a site visit of the property to determine the location of the existing infiltration gallery to assess the adequacy of land to add the chlorine contact basin.
Jeff presented the Change Order Bid provided by Native Excavating, resulting in a net decrease to the original bid of $157,736.62. This results in a net overall project bid of $663,069.96. Jeff stated that in his opinion, the Change Order Bid presented by Native is fair and reasonable.
Carrie Hayden made a motion to accept the bid by Native Excavating for $663,069.96 for the purpose of completing Phase 1 of the water system improvement project in 2015. Furthermore, the second phase of the project to add the chlorine contact basin at water treatment plant is to be completed in 2016. The new chlorine basin is to be designed by Civil Design Consultants and anticipated to be paid with funds in the Association’s capital reserve. Tim seconded the motion. The motion was approved.
The Board directed CPG to coordinate a mailing to the HOA. The mailing will include an explanatory letter outlining the project along with a ballot. The packet will be mailed by May 29. Five days after the packet is mailed, CPG will initiate an automated call/email to Homeowners to give additional notice to the mailing. The return mailing due date for the packets will be June 15th.
Tim DePuy made a motion to direct CPG to move forward with obtaining bank financing with Centennial Bank for those homeowner’s who would prefer to fund his/her special assessment in this manner. Sharon seconded the motion. The motion was approved.
The next meeting will be Thursday, June 25th at 8:00 am.
The meeting was adjourned at 9:10 am.
